JOB DESCRIPTION:

Performs routine (journey-level) accounting work for the agency.  Work involves maintaining, preparing, posting and balancing financial statements, records, documents or reports.  Responsible for preparing and processing vouchers for financial transactions.  Vouchers may include expenditure, interagency, BTA, deposit and travel.  Individual must be able to works under moderate supervision with limited latitude for the use of initiative and independent judgment.  Work must be extremely accurate.  Individual must be reliable, punctual and responsible.  Complies with all agency policies and procedures.

EXAMPLES OF WORK PERFORMED:

  • Processes accounts payable vouchers, interagency transaction vouchers, and daily deposit vouchers.
  • Prepares and enters vouchers into the Uniform Statewide Accounting System.
  • Reviews invoices and compares to purchasing and receiving documents to insure proper billing.
  • Researches billing errors and works with vendors to resolves discrepancies.
  • Maintains expenditure voucher records and accurate documents in Excel.
  • Audits accounting and financial documents for accuracy and compliance with departmental policies and procedures and with state and federal statutes.
  • Receives cash, prepares deposit slips, maintains cash control records and accurate documents in Excel.
  • Reconciles accounts, bank statements and/or appropriation balances and reports findings.
  • Researches reconciliation discrepancies and reports findings.
  • Ability to read and correctly interpret information and communicate professionally with other agencies and co-workers both orally and in written form regarding state law and regulations.
  • Provides technical assistance to staff in handling accounting transactions.
  • Assists with fleet maintenance activities.
  • Assists with State Property Accounting including annual inventory and data entry.
  • Assists with surplus property needs which may require lifting and moving of furniture and equipment.
  • May assist with processing of Agency mail.
  • Performs related work as assigned.

GENERAL QUALIFICATIONS:

Experience in accounting or bookkeeping.  Graduation from an accredited four-year college or university with major course work in accounting is generally preferred.  Experience and education may be substituted for one another. 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of generally accepted accounting principles and procedures affecting maintenance of accounting records and of automated accounting systems.
  • Knowledge of budget controls, and of purchasing methods and procedures.
  • Ability to perform complex accounting transactions, to interpret laws and regulations, to interpret and apply accounting theory, to communicate effectively.
  • Experience in the use of 10-key, computers, and other office equipment. 
  • Experience with the Uniform Statewide Accounting System (USAS), State Fleet Focus system and State Property Accounting system is preferred but not required.
  • Ability to lift at least 50 pounds and climb stairs.
